Front Desk Administrative Assistant

Muller Engineering is seeking a professional with a friendly attitude and the ability to multitask to serve as an Administrative Assistant.  The Administrative Assistant will play a key role in helping our engineering staff successfully complete Muller’s numerous projects for its clients. The successful candidate must be self-motivated, detail-oriented, organized, dependable, helpful, flexible and willing to perform a variety of tasks with little guidance.

Essential Duties and Responsibilities: 
  • Serve as the face of the company, offer friendly service to those entering the building or calling in on the phone
  • Greet people entering the building, answer any questions, provide directions and alert staff of visitors
  • Accept deliveries and mail, organize and distribute to the correct recipients, ensuring timely delivery, manage outgoing mail and packages
  • Assist with general office administrative duties such as ordering and stocking office supplies,  stocking and upkeep of kitchens, filing (paper and electronic), preparing electronic document templates, and helping with other various office tasks where needed
  • Help the Office Manager with office maintenance coordination, office renovations and furniture acquisition, and vehicle tracking and maintenance
  • Assist with reproduction tasks including printing, copying and/or binding plan sets, specs and other reports
  • Coordinate meeting set-ups, assist with handout materials, and order food
  • Coordinate employee registration for webinars, seminars, conferences, training, and associated
  • Help with additional duties as assigned
Education and/or Experience Requirements: 
  • High School Diploma or equivalent required, plus additional or specialized training preferred; college degree is desirable
  • One+ years of executive and/or administrative support experience
  • Strong proficiency with Microsoft Word, Excel, PowerPoint and Adobe Acrobat
  • Excellent written and verbal communication skills
  • Ability to work independently
  • Demonstrates critical thinking and problem-solving skills
  • Maintains composure and is pleasant to work with even during demanding and high stress situations
  • Ability to prioritize assignments to meet multiple simultaneous deadlines
  • A desire to grow personally and professionally while working in a team environment and providing outstanding internal and external client service and support

Salary range for this position is: $18/hr to $21/hr dependent on experience
